Administrative Assistant - Boston


Gen II Fund Services is looking for an Administrative Assistant who will support the business through a variety of administrative tasks and projects. The successful candidate will possess attention to detail, high energy and flexibility in a fast-paced deadline driven organization. This individual will need to work well in a team environment, be able to represent the firm with professional courtesy and acumen and deliver flawless work output.
The duties and administrative functions will require confidentiality, initiative, sound decision-making and independent judgment.

Primary Responsibilities Will Include:
  • Ensure the smooth operation of the office on a daily basis through various tasks
  • Provide assistance with writing proposals, contracts and other materials
  • Help format and proofread communications/documents
  • Assist in editing spreadsheets and presentations including printing and binding for client meetings
  • Communicate effectively and collaboratively with firm leadership, internal staff and external clients in a professional manner
  • Prepare mail merges
  • Update investor contact information
  • Provide assistance with checklists and billing
  • Maintain complex and detailed calendars
  • Coordinate logistics of both internal and external meetings
  • Handle travel arrangements
  • Screen incoming calls and determine the level of priority while using discretion in dispensing information
  • Handle regular activities and advise managers, in advance, of issues or delays
  • Lead and coordinate ad-hoc projects as requested
Job Requirements, Skills, Education and Experience:
  •  Minimum of 3+ years of administrative experience required
  • Minimum of an Associate's Degree required
  • Proficiency in MS Office including Microsoft Word, Outlook, PowerPoint and Excel
  • Ability to multitask
  • Strong communication skills, professional presence and excellent organizational skills 
  • Thoroughness and detail oriented with dedication to completing tasks and assigned work in a timely manner
  • Comfortable working in a fast-paced and changing office environment 
  • Friendly, flexible, responsible, dependable and efficient
  • Hours: 9am - 6pm with 1 hour lunch – Overtime and flexibility is required as needed to meet business demands
